2. Scope

This policy applies to the public Webmentat website, emails sent to Webmentat, and information submitted through its contact, product-interest, Framework-interest, and Custom Solutions forms.

The website describes products and services, but it does not currently provide user accounts, subscriptions, paid software access, or online contracting. Separate terms and privacy information will be provided before any future service requires them.

3. Information we collect

Depending on the form or communication, we may collect:

  • your name, email address, company, role, and other contact details;
  • the product, service, or subject you are interested in;
  • answers, comments, workflow details, business needs, and other content you choose to submit;
  • form information such as the source page, form type, status, and submission timestamp;
  • your optional choice to receive Webmentat news, product updates, and launch information;
  • evidence of that choice, including the wording or version shown, date and time, source form, and affirmative action;
  • basic technical and security information such as IP address, browser information, requested pages, timestamps, and server or security logs.

Some forms reveal additional optional fields when you choose to provide more detail. The form is submitted only once. We store only the information sent when you submit it and do not intentionally store unfinished or unsent field contents.

Please do not send sensitive personal data unless it is genuinely necessary and we have specifically requested it.

4. Why we use the information

Receive and manage inquiries

We store and use submitted information to understand your request, respond to you, continue a conversation, and discuss a possible product, service, or commercial relationship.

The legal basis is taking steps at your request before a possible contract where applicable. For general inquiries and expressions of interest, the legal basis is our legitimate interest in receiving and responding to communications about Webmentat.

Understand interest and improve product planning

We may review submitted answers to understand common needs, evaluate interest in Webmentat products and services, and improve our product and commercial planning. Where practical, we use aggregated or de-identified information for this analysis.

The legal basis is our legitimate interest in understanding demand and improving what we build and offer. You may object to this processing for reasons related to your particular situation.

Optional news and product updates

We use your email address to send occasional Webmentat news, product updates, and launch information only when you actively choose to receive them.

The legal basis is your consent. This choice is optional and is never required to submit an inquiry. You may withdraw consent at any time by using the unsubscribe method in the message or by contacting admin@webmentat.com.

Website operation and security

We process limited technical data to deliver the website, protect forms and infrastructure, investigate errors, prevent abuse, and maintain security.

The legal basis is our legitimate interest in operating a secure and reliable website.

Legal obligations and claims

We may process information where necessary to comply with legal obligations or to establish, exercise, or defend legal claims.

5. Required information

Fields marked as required are needed to receive and process the relevant submission. If you do not provide them, the form may not be submitted or we may be unable to respond.

Optional discovery questions and optional marketing consent are not required to contact Webmentat.

6. Storage and service providers

We do not sell personal data.

Submitted form content is stored in MongoDB Atlas, a managed database service provided by MongoDB, Inc. The website application is hosted using Render, provided by Render Services, Inc. These providers process data on our behalf under their applicable service terms and data-processing arrangements.

Information may also be processed by providers used for email delivery, website security, technical support, and infrastructure administration. Access is limited to what is necessary to provide those services.

Data may be disclosed to professional advisers, courts, regulators, or public authorities where required by law or necessary for legal claims.

7. International transfers

Render operates the current website infrastructure in the United States. MongoDB Atlas data is stored in the deployment region configured for the database, while MongoDB and its subprocessors may also process limited data from other locations when providing support, security, or cloud services.

Where personal data is transferred outside the European Economic Area, we rely on an applicable legal safeguard. This may include an adequacy decision, participation in the EU-US Data Privacy Framework where applicable, or the European Commission's Standard Contractual Clauses together with any additional safeguards required by law.

8. Retention

We apply the following maximum periods unless a longer period is required by law, an active commercial relationship, or a legal claim:

  • submitted inquiries and any optional discovery responses: up to 24 months after the last meaningful contact;
  • information connected with an active commercial discussion or relationship: for the duration of that relationship and the applicable legal limitation periods;
  • marketing contact information: until you withdraw consent, the address is no longer valid, or we discontinue the relevant communications;
  • suppression information after an unsubscribe: as long as reasonably necessary to ensure that we respect the request;
  • consent records: as long as reasonably necessary to demonstrate compliance and handle possible legal claims;
  • technical and security logs: ordinarily no longer than 12 months, unless an incident requires longer retention.

We may retain aggregated or properly de-identified information that no longer identifies an individual.

9. Your rights

Depending on the circumstances, you may request:

  • access to your personal data;
  • correction of inaccurate or incomplete data;
  • deletion of your data;
  • restriction of processing;
  • objection to processing based on legitimate interests;
  • portability of data processed by automated means on the basis of consent or contract;
  • withdrawal of consent at any time.

Withdrawal does not affect processing that was lawful before withdrawal.

You may also lodge a complaint with the Spanish Data Protection Agency, Agencia Española de Protección de Datos, at www.aepd.es.

10. Automated decisions

We do not use the data covered by this policy to make decisions based solely on automated processing that produce legal or similarly significant effects. We do not use it for behavioral profiling.

11. Children

This website is intended for business and general professional audiences and is not directed at children. We do not knowingly request personal data from children.

12. Security

We use technical and organizational measures appropriate to the nature of the information and the risks involved. These include restricted access to production systems and credentials, secure connections, provider access controls, and procedures for handling security incidents.

No internet service can guarantee absolute security.

13. Changes and existing consent

We may update this policy when the website, forms, providers, or data processing change. The current version will show its last updated date.

Updating this policy does not broaden a consent already given. Existing marketing consent continues only for the purpose and communication channel described when it was collected, unless it is withdrawn. We will request a new consent before using personal data for a materially different purpose that requires consent.
